1. Monitor Duties
  • Please arrive at the Community Centre at 3:00pm.
  • Each monitor should wear a yellow apron for identification. You will also be given a ballpoint pen. Please use ONLY this pen to circle last bids at 4:30pm.
  • Each monitor will be assigned to a numbered board of paintings.
  • No "Take-Away" paintings can be sold after 3:30pm. This leaves 1 hour for silent bidding to continue. Last paintings will be picked up by runners by 3:00pm or artists must deliver paintings by 3:30pm. Monitors to be at their appointed boards by 3:30pm please.
  • As 4:30 approaches, the monitors must be sure that no bids are placed once the auctioneer calls the time.
  • MONITORS at this point will circle the final bid on the bid sheet with the ballpoint pen and ensure that it is legible on the bottom (pink) copy.
  • MONITORS will then remove the top 2 sheets of the bids sheets and take them to Gill Osmond or Jo McGee for sorting. Leave the pink bottom copy on the board with the painting. Please leave all 3 sheets on the board beside any unsold paintings with no bids.
  • SOLD artwork is to remain on the board until the buyer returns with the PAID RECEIPT.
  • Once the successful bidders have paid for their painting(s), they will return with the yellow copy marked "paid", to pick up their paintings.
  • Please write SOLD AND TAKEN on the pink copy of the bid sheet (it is still on the board beside the painting), and have the buyer sign it. The buyer is then to be given the painting and keeps the yellow sheet as a receipt.
  • IT IS IMPERATIVE THAT MONITORS REMAIN AT THEIR ASSIGNED BOARD UNTIL ALL SOLD PAINTINGS HAVE BEEN PICKED UP BY THE BUYERS. IF YOU ARE INTERESTED IN BIDDING AND BUYING PAINTINGS YOURSELF, PLEASE HAVE SOMEONE ELSE DO THE BIDDING FOR YOU AND THEN CLAIM ANY PAINTINGS YOU MAY HAVE WON.
  • Artist's who do not have bids on their paintings may take their work, but must sign "Taken by", and their signature is to be legible through all 3 bid sheets. The artist is to take the top copy with their painting and the bottom 2 sheets remain with the Monitor. On Saturday, the artist may leave any unsold paintings for bidding on Sunday. On Sunday, any unsold paintings are to be picked up by the artist at the end of the day.
  • When all paintings in your section have been collected, please return the 3rd (pink) sheet to Gill Osmond or Jo McGee.
  • Please refer any problems to Gill Osmond or Jo McGee.
  • It is important that MONITORS DO NOT BID either for themselves or anybody else on their appointed board.

2. Runner Duties
  • Take pizza boxes, maps, pens and triplicate bid sheets with you when to pick up paintings on each run.
  • Make sure that the artist has signed the work and written the Title and Medium on the back of the painting.
  • Fill in the Bid Sheet with Artist's Name, Title, Medium, "Opening Bid", and "Take Away price.
  • All paintings must be picked up by 3:00pm and should be back in the Community Centre by 3:30pm each day.

3. Floor Duties
  • Artist registration.
  • Bidders registration.
  • Hanging paintings, etc.
  • Sales.

4. Breakfast Duties
  • Put out donated muffins and coffee and replenish on both days.

5. Lunch Preparations and Distribution Duties
  • Prepare lunch and pack brown bags for artists who will either take them with them in the morning or they will be delivered by runners during the day.

6. Mix n' Mingle Duties
  • Shopping and meal prep for Saturday evening artists get together.

7. Children Art Duties
  • Two art teachers will conduct these workshops but need help from two volunteers with registration etc.

8. Signage Duties
  • Signs need to be collected from the Lunenburg Art Gallery on Thursday July 19th or Friday July 20th and placed at designated spots around town.
  • These need to be collected on Sunday or Monday and delivered back to the gallery.
